What is TrainerFlow?

TrainerFlow is a planning tool for professional trainers. It helps manage proposals, availability, scheduling, participant communication, and invoicing — with a focus on calm workflows and long-term continuity.

Who is TrainerFlow for?

TrainerFlow is designed for independent trainers, consultants, and small training organizations using Microsoft 365 who deliver training programs over time.

Who is it not for?

TrainerFlow is not a learning management system (LMS), course marketplace, CRM, or marketing automation tool.

Do I need Microsoft 365?

Yes. TrainerFlow integrates with Microsoft 365 calendars for availability and scheduling, and can send session reminders and materials via email. (Later on, we might support other environments than just Microsoft 365.)

What's the difference between Solo and Pro?

Solo supports one Microsoft 365 calendar. Pro supports up to five calendars and is designed for trainers who work across multiple client organizations. Pro also includes custom email templates and priority feedback/support.

Why calendars instead of session limits?

Calendar complexity reflects real planning complexity better than raw session counts. Coordinating across multiple calendars usually means working across organizations or roles.

What does the "Find Free Time" feature do?

TrainerFlow considers both your Microsoft 365 calendar(s) and sent proposals that are not yet confirmed, so you can see time that is truly available.

Does TrainerFlow send marketing emails to participants?

No. Participant emails are transactional and related to an agreed training program (reminders, Teams links, materials). TrainerFlow is not a marketing automation platform and not meant for service promotion.

Can I pause my subscription?

Yes. TrainerFlow supports a low-cost paused state during quiet periods. Your data remains accessible, and you can reactivate anytime. In paused mode, you cannot add or modify proposals or programs, and participant emails and reminders are disabled.

Can I export my data?

Yes. Full data export is always available in common formats such as Excel and CSV.

How do you handle privacy?

TrainerFlow follows GDPR principles, including data minimization, anonymization of inactive data, and support for access and deletion requests.
